Is Your Event Going Virtual? Read This.

May 19, 2020

Planning an event is never easy. Now throw in some fear surrounding COVID-19 and having to learn what planning a virtual event actually means, and it's safe to say that you are feeling the pressure.

Going virtual is a great option in today's landscape, but you don't want your event to be the guinea pig. Here are six things to consider when planning a virtual event.

#1. WiFi

It's a first-world problem, but there are few things more frustrating than not being able to access the content you want because the lack of WiFi. With in-person events, you could control the bandwidth solutions through the venue or a third-party service. In the virtual events world, it is a bit more complicated.

You see, everyone who is attending your event virtually - the attendees, speaks, sponsors, your team - all have different WiFi capabilities. So if your attendees have a great connection but your speaker is having difficulties, it can be a frustrating experience for everyone.

So what's the solution? In the days, weeks, and months leading up to your event, make sure to communicate with everyone involved about the WiFi capabilities they should have to enjoy all your virtual event has to offer.

#2. Security

When you plan an in-person event, you wouldn't even consider glossing over security concerns. The same measures need to be taken for your virtual event.

This is especially important now that hackers know where the valuable information is being shared and that many first-time virtual event go-ers don't know all of the best practices.

Therefore, it is your job to ensure that their information is safe and that there are no security breaches throughout the event.

#3. Price

There are two things you should consider about price: how much does it cost to host a virtual event and how much are you charging to attend?

We are going to give it to you straight. Hosting a virtual event isn't cheap. There are a lot of factors involved in producing a successful one (i.e. platform, AV rentals, technicians), and going the cheaper route won't get you the results you want.

The good news is that whether you are hosting a fundraiser, webinar, or course, your event is valuable. And people will pay to hear your message. If you have questions about pricing, don't hesitate to contact us today here.

Pivoting to virtual events in the midst of a pandemic is not for the faint of heart. If you would like support from an A/V company who has been producing virtual events for years, visit our website or give us a call at 661-257-1725.
